This article explains why we are discontinuing the legacy system reports in Personio, and how to create similar reports using the new analytics experience (Report Builder).

We are not discontinuing custom reports or the API. We'll inform you in advance of any future changes affecting custom reports.
Why are we discontinuing system reports?
Last year, we rolled out a new analytics experience inspired by your feedback, featuring a Report Builder, a Metrics tab for quick insights, and a variety of report templates.
Since its launch, we've added new data sources and features to improve your reporting experience. As a result, we are also discontinuing the legacy system reports and replacing them with new, advanced report templates.
We are gradually discontinuing the legacy system reports to allow for a smooth transition:

Step 1: Give employees access to the new Report Builder
To give employees access to the Analytics area and the Reports tab, follow these steps:
- Go to Settings > Employee roles.
- Select the role that the employee is a member of (besides the All Employees role). Alternatively, create a new employee role specifically for that employee.
- Click on the employee role's Access Rights tab.
- In Configuration > Reports, select Edit: All
Note that granting access to the Analytics area and the Reports tab is not enough.
You also need to grant access to the relevant employee attribute data:

The new Reports Builder shows you only the reports you have created, not those created by others. This ensures that you access only the most relevant information.
Step 2: Create a new report using a report template
- Go to Analytics > Reports, and click Create Report.
- Select the corresponding report template based on the system report you were using:

In the next section, you can find examples of the specific configurations required to set up new reports that replicate legacy system reports.
- Save the report. It now appears on the list.
Examples of system reports replicated with the Report Builder
Here are some configurations for setting up new reports that replicate the old system reports:
Monthly headcount per legal entity
- Template: Headcount
- Chart type: Vertical bar
- Time Range: This year
- X axis: Time range — group by Month
- Y axis: Headcount — Summarise by Count
- Segment by: Legal entity

To see which employees are included in the headcount segments, click a number in the table for the employee details.
Monthly Full-Time Equivalent (FTE) per team
- Template: Full-Time Equivalent
- Chart type: Vertical bar
- Time Range: This year
- X-axis: Time range - group by Month
- Y-axis: FTE - Summarise by Count
- Segment by: Team

To view the FTE value for individual team members, click the number in the table for a detailed breakdown.
Attendance periods for this quarter
- Template: Attendance periods
- Chart type: Table
- Time Range: This quarter
- Rows: Attendance
- Columns: Add employee data, such as Position or Team, in addition to the predefined columns.
- Filter: Filter by attendance period status to view confirmed and pending periods. Filter by employee attributes to define which group of employees should appear in the report.
Monthly employee salary
Select the table chart type and the following settings:
- Chart type: Table
- Rows: People
- Unique identifier: Select the employee name or Employee ID

Columns: Base salary, Recurring compensations, One-time compensation, Paid bonus
- Add any additional columns such as Position and Department
- Time Range: Select the time range as desired.
- Group by: Months
- Filter: Filter by Status = Active and any additional filters to refine which employees to include in the report.
