This article explains how you can configure part-time employment in Personio using the two components Weekly hours and Work schedule.
Please note that the part-time employment configuration described here is based on fixed working days. To learn how to set up Work schedules for part-time employment with flexible working days, click here.
Setting Up the Weekly Hours
Option 1: Adjust the number of Weekly hours under Employee profile > Information by going to the HR information section and clicking on Edit:
Option 2: Alternatively, adjust the Weekly hours directly in the Salary tab by clicking on Edit > Change salary:
Please note that part-time employees' salaries are automatically prorated based on a comparison between their Weekly hours and the Weekly hours of the Department.
Configuring Work Schedules
Work schedules are important because they allow Personio to correctly calculate absence entitlements and track overtime. To configure a new Work schedule, go to Settings > Attendance and click on the plus symbol to add a new schedule.
In the weekly overview of the schedule, start by defining the days that are to be considered working days. For these working days, enter either the contractually agreed working hours only, or optionally add the start, finish and break times as well.
Decide whether Overtime and deficit hours should be counted and, if necessary, define the break rules.
Activate Prorate vacation. Then, under Reference value for the prorated vacation calculation, enter the standard number of working days for a full-time employee in your company. This reference value is the denominator for the calculation of part-time leave entitlements.
Please note that the Reference value for the prorated vacation calculation is used to define an overall value for the scope of a full working week in your company.

Please note that the prorated leave entitlement is calculated automatically, based on the Reference value for the prorated vacation calculation defined in the Work schedule. The prorated leave entitlement is therefore re-calculated from the date from which the Working hour schedule applies.
If you would like to create a custom Working Hour Schedule for an individual employee, you also have the option of navigating to the Attendance tab in the employee profile, clicking into the Work hours & schedule widget and on Change schedule. You can then create a Custom schedule.
Please note that you will only be able to view a Custom schedule created via Employee profile > Attendance in the employee profile.
