This article provides a summary of the Personio Overview page for reporting products. The Overview page will help you get great insights within your company.
The new Reporting experience runs on a new platform and is separate from existing reporting products. The new Reporting experience will not change the functionality or access rights of System or Custom Reports.
What is the Overview page?
The Overview page allows you to get all your essential KPIs on one single page based on our Beta Headcount and FTE templates. The widgets are the following:
- Headcount development over the last months
- FTE development over the last months
- Headcount per department as of today
- Gender distribution
Review and analyse relevant company data
Find the Overview page by navigating to the Reports section and select Overview. You can get instant insights of relevant company information within just two clicks. Each widget provides detailed diagrams and relevant company data. Click on the three dots on each diagram and either view the report or export to your device.

Headcount composition of overtime
Headcount is the number of employees working for a company. It is calculated by counting each active employee on the last day of a given period, independent of their working hours.
This widget displays your company's growth over the last 6 months and includes only internal employees. Employees on leave and onboarding or inactive employees are excluded by default. To review headcount including external employees or employees on leave, create a Beta report and adjust default filters accordingly.
To be able to see the headcount widget, users need access to employees' hire date and status.
FTE is calculated based on the ratio of contractual hours of employees and their respective departmental working hours. An employee's FTE is prorated based on:
- Weekly working hours of an employee over department hours.
- Number of employed days in a period. For example, if an employee joins on the 15th of a month or their contract terminates mid-month, only the active period is counted.
- Change of personal weekly hours or change to a department that has a different working hour schedule.
- Leave periods: If filtering by status = active, employees, who are on leave for some days of the time interval, are prorated. This can be adjusted if the filter is removed or set to active and leave status.
To be able to see the FTE widget, users need access to employees' hire date, status and weekly working hours.
▶︎ Absence periods are not considered in FTE calculation.
▶︎ Monthly FTE proration is based on days of respective month.
▶︎ Growth rate for the last 6 months is calculated by (Total of last month — Total of first month) / Total of first month.
Headcount by department
Headcount by department shows the number of employees per department in the company and the number of employees not assigned to a department.
Widget numbers include active internal employees today. To review the department distribution in a different filter, customize and save a new Beta report.
To be able to see the Headcount by department widget, users require access to an employees' hire date, status and department.
Gender distribution visualizes gender diversity in your company in a donut chart. Diversity ratio shows comparison between the number of male employees and the number of female employees.
The widget includes active internal employees today. To review gender distribution in a different filter, customize and save a new Beta report.
To be able to see the Gender distribution widget, users need access to an employees' hire date, status and gender.
▶︎ Widgets on the Overview page cannot be customized at the moment.
▶︎ Users will only see widgets if they have appropriate access rights for the respective data. Additionally, their results will only include the employees for which they have access to the required attributes.
