This article explains the prerequisites that have to be fulfilled in order to publish a job posting on external job portals that has been created in Personio.
The following is a list of the data that external job portals specifically request:
1. Enter Location Details
Under Settings > Offices , provide complete details about your offices including street, zip code, region, city, country, currency, public holidays. External job portals make the provision of this data obligatory.
2. Enter an Email Address
External job portals also request an email address where you can be contacted.
Go to Settings > Recruiting > General > Own inbound email address and enter the Careers email address of your company or your Personio Inbox address.
You can find your Personio Inbox address in Settings > Recruiting > General > Inbound email address. It is visible when not in editing mode.
A company Careers email and SMTP settings entered under Settings > Recruiting > Email will allow you to send emails from Personio via your server, i.e. from your company email address. You can find further information on this topic here.
3. Categorize Job Description Fields
Assign the job description fields to one of the four predefined categories Job description, Qualifications, Further information or Contact information. Go to Settings > Recruiting > Job description and select the desired category directly as you create the job description field. Move existing attributes to another category via Drag & Drop.
As more and more job portals request these categories for the publishing of job advertisements, we recommend that the job description fields are allocated to one of the four categories. The categories are used by the portals so that job ads are structured in the best possible way. If you don't allocate the attributes, errors may occur in how ads are displayed.
4. Add a Job Description
Provide a job description. Via Recruiting > Job position > View job details > Edit, go to the detail view of your job posting and enter the specific details of the job.
Create job postings in multiple languages if needed. You can publish job openings on external job portals directly via Personio in seven different languages (see screenshot).
Don't forget to select the respective language in the available job portal overview before completing the booking process.
Also make sure that a company description is available in the desired language in the About us field under Settings > Recruiting > Career page > Translations.
5. Complete the Compulsory Meta Information
The following meta information must be completed so that your job posting can appear on external job portals: Location, Job title, Industry, Occupation, Employment type and Experience. In the detail view of your job posting, the respective fields are marked with an asterisk (*).
6. Enter a Reference Number
Optionally enter a reference number for the position directly in the job posting. Do this in the Reference field.
If you leave this field blank, Personio will automatically create a reference number for your job posting. The reference number allows jobs to be more easily recognized in emails and on portals.
7. Enter URLs When Integrating the Company Career Page
If you are integrating your own career page to publish the position on external job portals, the fields URL to your job opening and URL to your application form must be completed.
These are the URLs for the job ad/application forms on your company’s careers page. Entering them allows the communication between Personio, your company’s careers page and the relevant other job portals.
8. Entering Payment Information
Enter your credit card details in your account under Settings > Plan and Billing or set up a Personio direct debit plan so that any associated charges can be conveniently settled via Personio.
9. Publish Job Postings
To enable the posting of job ads using the multi-posting function, publish them by clicking on Publish in the respective job opening; it then becomes available both on the Personio Career page and via the XML feed (if enabled).
You can then do an automated posting on multiple job portals at the same time by selecting Job openings > View job details > and clicking on Post on job portals.
In the overview, select all job portals on which the advertisement is to be published and click Next. In the last step, you can review your order and select Place order to complete the process.
